Administrative Assistant Mentoring Program

Eligibility Criteria

The applicant must:

  • Hold at least a 75% FTE position (non-exempt or exempt) in the College of the Liberal Arts.
  • have a minimum of one year of service in the College of the Liberal Arts.
  • obtain endorsement/approval from the department or program head and the direct supervisor to participate in this program.
  • have a supporting statement to participate in this fellowship from the Administrative Assistant, if the Administrative Assistant is not the direct supervisor.
  • be willing to attend mentoring sessions with various Administrative Assistants and Liberal Arts Administrators.
  • be willing to attend at least two professional development seminars related to mentorship topics.
  • keep a journal of activities and document in an essay form the results of this mentoring program, describing what it accomplished.
  • be willing to present a final report on the mentoring experience to the group of Senior Administrators.
  • be willing to continue to interact with the home administrative assistant to keep abreast of new procedures.
Application Procedure

The applicant should complete the application form and attach the required resume, submitting these items electronically by the deadline.  Written endorsements from the department or program head and the direct supervisor should also be submitted electronically as directed on the attached.  Finally, in cases where the Administrative Assistant is not the direct supervisor, a supporting statement from the unit Administrative Assistant must also be submitted.

*This program does not guarantee that the Applicant will be promoted, but will better qualify him/her for an Administrative Assistant position.

Purpose

To provide an opportunity for interested staff in the College of the Liberal Arts to gain knowledge and an overview of the position of administrative assistant that are not available in their current positions.

Program

The mentee(s) will be selected via a competitive process and will participate in a series of mentoring sessions with experienced Administrative Assistants, or other staff members, in departments and College offices. This will include topics such as:

  • Budget
  • Personnel (Promotion & Tenure, appointment forms)
  • Supervision
  • Curriculum (both course proposals and course scheduling)
  • Student Issues (both graduate and undergraduate)
  • Grants/Development/Outreach
  • Development
  • Human Resources
  • Facilities
  • Information Technology

The program is designed to include mentoring sessions on the topics listed above for approximately 56-60 hours.

The mentee will also:

  • Participate in a round table discussion on Planning & Analysis at the department level;
  • Attend at least two professional development seminars related to mentorship topics (funding to be provided by the College as a part of the mentoring program experience);
  • Maintain for submission a journal of mentee experiences; and
  • Complete and present a final report to the group of Senior Administrators Committee.
Post-Menteeship Involvement

Following the mentoring experience, the home department will commit to keeping the mentee involved with a variety of topics by interacting with the home administrative assistant to keep abreast of new procedures, etc.  This could be accomplished in a variety of ways that might include (but are not limited to): attending meetings and workshops; supervising wage employees; creating spreadsheets or databases; adding and submitting IBIS documents; etc.
